  • Enquiry and project details (via our contact/booking form): your name, email address, telephone number, the full address of your project, project type and budget, whether you own the property, details about your project and timescales, and how you heard about us.

We do not intentionally collect special category data (such as health or ethnicity) through our website. Please do not send us such information unless we specifically ask for it.

We will only send you marketing emails where you have opted in (for example, by subscribing to our newsletter or ticking the consent box on our enquiry form). Every marketing email contains an unsubscribe link, and you can withdraw your consent at any time by contacting us at info@finkernagelross.com. Withdrawing consent does not affect the lawfulness of processing carried out before you withdrew it.

We do not sell your personal data. We share it only with:

  • Service providers (processors) Microsoft 360, Calendly, Mailchimp, Adobe Creative Suite, AutoDesk, and ArchiCAD. These providers act on our instructions and are bound by appropriate data protection terms.

  • Professional advisers such as our accountants, insurers and lawyers, where necessary.

  • Authorities or regulators where we are required to do so by law.

6. International transfers

Some of our service providers (for example our analytics and advertising tools) may process data outside the UK. Where personal data is transferred outside the UK, we ensure an appropriate safeguard is in place, such as the UK extension to the EU–US Data Privacy Framework, the International Data Transfer Agreement (IDTA), or UK addendum to the EU Standard Contractual Clauses. We keep personal data only for as long as necessary:

  • Enquiries that do not become projects: 12 months after our last contact, then deleted.

  • Client and project records: for the duration of the project and for at least 6 years after completion, or longer where required by our professional indemnity insurance or the limitation period applicable to the relevant contract.

  • Accounting records: 6 years, as required by HMRC.

  • Newsletter subscribers: until you unsubscribe.

8. Your rights

Under UK GDPR you have the right to:

  • Access a copy of your personal data.

  • Rectify inaccurate or incomplete data.

  • Erase your data in certain circumstances.

  • Restrict or object to our processing in certain circumstances.

  • Data portability — receive your data in a portable format.

  • Withdraw consent at any time, where we rely on consent.
